Who runs this service
This service is operated under the brand RentPlace at rentplace.com. The contact address for every privacy matter is support@rentplace.com, and a person reads it.
What we collect
If you sign up
Your email address, a confirmation code we send to it and then discard, and the technical details attached to the request: IP address, browser user agent, the page or button you signed up from, the referring site and any campaign parameters in the URL you arrived on. We use those last items to understand which pages actually bring people in.
If you list a property
The listing content itself, which is public by design, plus your account email and billing details. Payment card data is handled by our payment processor and never touches our servers.
If you inquire about a property as a renter
Your contact details and your answers to the screening questions the landlord set: typically desired move-in date, income band, occupants, pets and preferred lease length, plus your message. This goes to the landlord or manager of that listing.
If you use the free Listing Grader
The text you paste is sent to our model provider to produce the grade and is not stored by RentPlace afterwards. We keep an anonymous count of how often the tool is used and a rate limiting record tied to your IP address.
Everyone
Standard server logs, and a single privacy-respecting analytics measurement so we can see which pages are read. We do not run advertising trackers or third-party marketing pixels on this site.
Why we are allowed to hold it
We process your data to provide the service you asked for (a contract), to keep the service secure and functioning and to understand which pages work (our legitimate interests), and to meet tax and accounting obligations (a legal obligation). Where we rely on consent, such as a marketing email you opted into, you can withdraw it at any time using the unsubscribe link or by emailing us.
Who we share it with
Renter inquiry answers go to the landlord or manager of the listing that was contacted. Beyond that, we share data only with the infrastructure providers we need to run the service: hosting, transactional email, error monitoring, payment processing and the language model behind the Listing Grader. Each is bound by a data processing agreement and processes data only on our instructions.
We do not sell your data. We do not sell or broker renter contact details to movers, insurers, utilities or lead buyers. That is the point of charging landlords a flat fee rather than monetising the demand side.
How long we keep it
Signup records are kept while your account is open. When an account is closed, listings and inquiry records are deleted within 30 days and backups age out within 90 days, except where a record must be retained for tax or legal reasons. Server logs are kept for 30 days. Listing Grader submissions are not retained.
Your rights
You can ask for a copy of your data, ask us to correct it, ask us to delete it, ask us to restrict how we use it, or object to processing based on legitimate interests. Depending on where you live you may also have the right to complain to a data protection authority, and if you are a California resident you have the rights described in the CCPA including the right to know and to delete. Email support@rentplace.com from the address on your account and we will respond within 30 days.
Cookies
We set a session cookie so the site works and a cookie that protects forms against cross-site request forgery. Both are strictly necessary. We do not set advertising cookies and we do not share cookie data with ad networks.
Children
RentPlace is intended for adults entering into or advertising a residential tenancy. It is not directed at children and we do not knowingly collect data from anyone under 18.
International transfers
Our infrastructure providers may process data outside the country you live in. Where that happens we rely on the standard contractual clauses or an equivalent transfer mechanism in our agreements with them.
Changes to this policy
If we change this policy in a way that materially affects you, we will update the date at the top of this page and email account holders before the change takes effect.
